Privacy Policy

This Privacy Policy explains what information easyerp.ai (the “Service”) collects, how we use it, and the choices you have. By using the Service you agree to this Policy. The Service is intended only for adults (18+).

1. Information we collect

Account information — your email address, username, a hashed password, and an indication that you confirmed you are 18 or older.
Content you create — characters, descriptions, uploaded images, personas, collections, comments, and the chat messages you send and receive.
Usage & technical data — basic logs such as IP address, browser/device information, and timestamps used to keep your session secure and the Service reliable, plus aggregate counts (e.g. token usage) tied to your account.

2. How we use information

to provide, maintain, and secure the Service and your account;
to generate AI responses to your messages;
to enforce our Terms, prevent abuse, and comply with legal obligations; and
to understand and improve how the Service is used.

3. Chat content & AI processing

Your chat messages are stored in our database so you can return to your conversations. To produce replies, the relevant prompt and message content is sent to our third-party large-language-model provider(s) strictly to generate a response. In production we do not log chat content to our application console. We do not sell your chat content, and we do not share it with advertisers.

4. How we share information

We do not sell your personal information. We share it only:

with service providers (such as our hosting and AI providers) who process data on our behalf to operate the Service;
with other users, for content you choose to make public (e.g. a public character and its public bio); and
where required by law or to protect the rights, safety, and security of our users, the public, or easyerp.ai.

5. Cookies

We use httpOnly authentication cookies to keep you signed in and to protect your session. We do not use third-party advertising or cross-site tracking cookies.

6. Data retention

We keep your information for as long as your account is active or as needed to provide the Service. When you delete a chat or character, it is removed from your account; when you delete your account, we erase your personal data within 30 days, except where we must retain limited records to comply with legal obligations or resolve disputes.

7. Security

We use technical and organizational measures — including encrypted transport (HTTPS), hashed passwords, and access controls — to protect your information. No method of transmission or storage is perfectly secure, so we cannot guarantee absolute security.

8. Your rights & choices

You can view and edit your profile, delete individual chats and characters, and delete your entire account at any time from Settings → Account. Depending on your location, you may have rights to access, correct, export, or erase your personal data, or to object to certain processing. To exercise these rights, email privacy@easyerp.ai.

9. Children

The Service is not directed to anyone under 18, and we do not knowingly collect information from minors. If we learn that we have collected data from a minor, we will delete it and terminate the account.

10. International users

We may process and store information in countries other than where you live. Where required, we use appropriate safeguards for such transfers.

11. Changes to this Policy

We may update this Policy from time to time. We will indicate changes by updating the date above and, where appropriate, by notice in the Service.
